Privacy notice

1. Who is responsible

The Racker is responsible for the account and booking information handled through this service. Contact us at info@theracker.co.uk about privacy or your information.

2. Information we collect

• Account details such as your name, email address, verification status and password-related security records.
• Business or organisation details supplied for a venue trial or subscription, including the business name, business type and any optional website or company information.
• Venue, table, pricing, opening-hours and booking information entered by a venue owner.
• Customer booking details such as the booking name, selected table, date, time and booking status.
• Tournament registration details such as your player name, email address, entry status and the events you enter.
• Billing, trial and subscription status, invoice references and payment events. Card details are handled by Stripe and are not stored by The Racker.
• Anonymous demo-preview usage information, including the time a successful visit occurred and, where available, its referral domain or campaign label. The demo report does not store an IP address, email address or browser fingerprint.
• Technical and security information needed to operate the service, protect accounts and investigate faults. To prevent repeated trials and duplicate venue claims, we store a one-way identifier derived from a normalised venue address; it is not used to publish the address. Public tournament sign-up uses short-lived, hashed network identifiers to limit automated abuse; the raw address is not stored in that protection record.

3. How we use information

We use information to create and secure accounts, check trial eligibility and fair use, provide venue management, bookings and tournament entry, send essential confirmations, trial notices and event reminders, process subscriptions, support customers, understand use of the venue-owner demo, prevent misuse, maintain records and meet legal obligations. We do not sell personal information or use tournament registration details for marketing without a separate valid permission.

Where you book or enter an event, the relevant details are shared with the organising venue so it can provide and manage the booking or tournament. Your player name and results may appear publicly on the event page, entrant list, draw and historical results. Your email address is not shown publicly.

4. Our lawful bases

We process information where it is necessary to provide a service you requested or to take steps at your request, where we have legitimate interests in operating and securing the service, and where we must meet a legal obligation. If we introduce optional marketing, we will request any consent required for it separately. You can object to processing based on legitimate interests by contacting us.

5. Service providers and transfers

We use service providers to operate The Racker, including Firebase and Google Cloud infrastructure for application data and authentication, Stripe for subscription payments and billing, and an email delivery provider for essential account and tournament messages. Providers receive only the information needed for their service and must protect it. Where a provider processes information outside the UK, we rely on the provider’s applicable transfer safeguards.

6. Retention and security

Tournament email addresses and reminder settings are removed automatically 90 days after an event is completed. Short-lived tournament abuse-prevention records are normally removed within 48 hours. Anonymous demo-preview visit records are retained for no more than 12 months. Player names, draws and results may remain as the venue’s sporting record until the organiser deletes the event or a valid deletion or objection request requires another outcome. Account, venue, booking and trial-eligibility records are retained only while needed for the service and reasonable accounting, dispute, fraud-prevention, security or legal purposes. A venue-identity record may be retained after a trial to prevent repeated trial claims.

We use verified accounts, access controls, hashed identifiers and technical safeguards. You can correct or withdraw an upcoming tournament entry in My Events. Deleting your Racker account removes its link to your tournament entries and removes the associated tournament contact email. You can ask us to access, correct or delete other information by emailing info@theracker.co.uk.

7. Your rights

Depending on your circumstances and applicable law, you may have rights to be informed, access, correct, delete, restrict or object to our use of personal information, and to receive a copy of information you provided. You can withdraw consent where consent is the basis used. You may also complain to the UK Information Commissioner’s Office if you are unhappy with how we handle your information.

8. Cookies and local storage

The service uses necessary browser storage and similar technologies to keep the application working, remember account/session state and support secure sign-in. We do not currently use non-essential advertising cookies on this site. We will update this notice and request consent where required if that changes.
